We are going to have to do some serious retooling, I think, if we don't get a secretary fast. We will have to switch off the player contact list and let hosts know that they're now responsible for tracking position, possibly switch over to a modified rolling-style system.
KoolKoal: Feel free to take this with a grain of salt since self meta isn't particularly helpful, but I think I get scumread mostly for style over substance, but also for a certain lack of substance over style. It's not so much what I AM posting most of the time (though sometimes that can seem bad) but what I'm NOT posting. I've been told I come to non-obvious conclusions a lot, so when I post, quite a bit of the time there's jumps in logic that people can't follow and they think that's scummy. I get that accusation about a lot of questions I ask specifically. People call them "busy work" when the questions are legit etc.
As far as things to ignore, I can't think of anything. I would suggest you focus less on what I'm doing and more on how I'm doing it. That's probably more likely to be accurate. Like I've just said, what I do tends to come off a little weird, but if you look for how I do it, mindset comes into play and maybe you figure out something useful.
That's a good question - previously, it would have involved PMing folks on the contact list when a new game was needed, PMing hosts when their turn was up or nearly arrived, and keeping the contact list up to date, primarily.
But it seems like people are burning out a bit, and I have some notions that we may want to change our systems around given some of the changes on the site lately. Thanks, and stay tuned.

Step 1. Convert the "new players sign up here" thread into an instruction manual on how to signup for games.
Step 2. The mafia secretary's responsibility will be to PM game hosts when their turn is up, and verify that folks are ready to run when their turn is coming up soon (next 2-3 games).
Step 3. As soon as a game of any type fires off (Mini, FTQ, League, Specialty), the next host in line will immediately start a signup thread for the next game in line. That way, there won't ever be a situation where players would like to join a game, but are unable to see where to do so, or have to wait.
Step 4. If the previous game ends, two more weeks go by, and the next game in line still hasn't been able to fill up enough slots to fire, the secretary notifies the council, which decides whether to approve the game to continue in signup mode, or skip over to the next host in line.
Absolutely not to skipping anyone. It's not fair to the hosts and the queue is far too long to just be told 'no'. This type of system infinitely favors smaller games and there are a number of players that prefer larger - myself, included.

I don't foresee this coming up often, but we're going to eventually need a mechanism to skip over a game that people just aren't interested in joining, for whatever reason. How long you let that period stretch out, is going to be something that shouldn't be automatic, but I wouldn't want an entire queue to come grinding to a screeching halt for much longer than a few weeks.
Of course, if we see that certain queues are taking longer to fire because there simply isn't as much demand for them, we can always start tailoring to that situation. Or, if it's evident that there's some kind of activity lull taking place, we're referring the issue to the council rather than automatically skipping someone. Or perhaps we'll see that in a rolling system, a longer period for ramping up should be allowed. But I would think that allowing signups to continue for the entire months-long process of running an entire game PLUS two weeks ought to be sufficient, no?
We already have this in place, actually, in our current system. It's just almost never used. Our signups nearly always fill pretty quickly.
Probably the only reason why a setup would be skipped over/would take too long is if the setup isn't "premium" enough. I find that games run by prolific, well-respected mods tend to move much faster. With the removal of basics I have trouble seeing that signups would stall longer than, say, two weeks.
If I'm understanding Az's proposal correctly, I would be concerned about setups fighting over players. For example, if I have a one-game limit and see signups for a Mini that's almost filling up and a Specialty, I would probably join the Mini leaving the Specialty out to dust. This is actually somewhat similar to what mafiascum uses, if I'm recalling their signup system correctly.
Indeed. The primary things that would set us apart from mafia-scum (as I recall it from years ago) is that we won't have as many upkeep requirements in terms of central signup threads, we can simply retire them, and that allowing for individual signup threads still gives hosts a chance to describe/market their game before it kicks off, letting players have a better idea in advance of what the setup will involve.
Anything we try out would be subject to ongoing review and revision - I think we're pretty committed to making sure that we stay flexible and light on our feet in adapting to changing conditions. If for some reason it doesn't work out well, I don't think anyone will stand in the way of looking for a better solution.
I think there are a number of factors at play, here, and that we can't solve all of our problems with a simple restructuring of how games fire off. We need more players, we need Curse to step up, forums are dying out in favor of social media, and we need more design space for roles and mechanics - very infrequently am I seeing anything unique pop up in games, and I do feel some players are starting to tire of the cookie-cutter setups we see so often. Obviously we took a huge playerbase hit when we made the transition to Cobalt, and more players in our community has never been a bad thing. As you guys may know, I'm always actively trying to recruit people for the sub, but I'm but one person. Plus forums just aren't as big as they used to be, back in the day.
Anyway, if we want to see if changing how sign-ups helps, I'm down - I just don't want to see people miss their hosting chances if they've been patiently waiting all this time, y'know?

Nice idea, that might help us stay in touch with our older playerbase. That is also my hope for the new system- we don't have as many people checking up daily anymore, so this makes it easier to still join.
Twitter would be easy for just saying "sign-ups are up" with a link or "this game ended in a town win" with a link type thing. Those tend to get flurries of interest.
I like the idea of a twitter account. I'm also hesitant about "skipping", unless it allows that user's game to be next in line again, or at least somewhat soon. Iso's point about the queue being super long is accurate, and I think it will potentially demotivate (especially newer) hosts if their game is skipped over for an extended amount of time.
Maybe do what iRebel did (when he changed Family Guy Mafia to Bioshock Mafia) and if a game doesn't fire for ~two weeks, that game is placed lower on the queue and a new game is fired up?

As it's been noted, I just don't have the time to be the Mafia Sec (or back-up) anymore. As it is, I am playing in my final game of Mafia for quiet some time, if not for good, as RL has me drained as of late and is showing no signs of slowing down in the near future. I don't like that I have let sub-forum down like this and take full responsibility for letting it fall on a couple of occasions.

I like Az's idea about posting the next game's sign-ups ahead of time. Cuts down on the in-between-games timeframe.
Personally, I would also love to see new games firing a little quicker. I may have "come back" at a weird time, and I understand the player base has stagnated, but I've been waiting for almost a month now for a new game. I know, first world problems and all that. Yes, I want some cheese to go with my whine. I got a fever, and the only prescription, is moar MAFIA!
I'll let discussion continue a bit longer. As of now, it looks like we'll be implementing rolling queues, with no set time limit on how long a game has to fill its signups, just play it ad hoc, and recruiting volunteers for twitter/fb.
I think the signups will need to remain open until players on the list have maintained readiness.
To make that system work better, we *could* suggest that people have the option of hooking up with the mafia facebook and twitter accounts so that we can more easily contact them, and create a key list of real names to usernames so hosts can contact them. Or is that too weird?
